Job Description

The Accounts Payable Specialist is responsible for managing and processing all county-related invoice and payment activities. This role ensures accurate financial reporting, compliance with county policies, and timely payments to vendors and service providers.

Key Responsibilities

  • Review, code, and process vendor invoices and county expense reports.

  • Match invoices with purchase orders and receiving reports; resolve discrepancies.

  • Prepare and schedule timely payments via check, ACH, or credit card.

  • Enter AP transactions and maintain detailed payment records in the financial system.

  • Assist with month-end and year-end closing tasks and account reconciliations.

  • Respond to vendor inquiries and maintain positive vendor relationships.

  • Monitor and manage any AP system alerts or anomalies.

  • Support audits and internal control assessments; ensure compliance with county policies and Florida statutes.

  • Participate in ongoing process improvements and system upgrades.

Qualifications

  • Education: Minimum of an Associate's degree in Accounting, Finance, Business Administration, or related field; comparable work experience considered.

  • Experience: 2+ years in Accounts Payable or similar accounting roles (government sector preferred).

  • Systems Knowledge: Proficiency with ERP/accounting software (e.g., Tyler Tech, Oracle, SAP, QuickBooks); strong Excel skills.

  • Skills:

    • Strong attention to detail and organizational skills

    • Effective communication and vendor-interaction skills

    • Ability to multitask and meet strict deadlines

    • Analytical mindset with problem-solving capabilities

  • Certifications (Optional): A/P certifications (e.g., Certified Accounts Payable Specialist) are a plus.
